TIME ALLOCATION SURVEY GUIDANCE NOTES

 

GENERAL INFORMATION ON COMPLETION OF SCHEDULE

Thank you for taking the time to complete this simple form.

 

For the 2019-20 TAS (Time Allocation Survey) you are asked to record the time that you spend on University work during your 7 day ‘Diary Exercise’ against the categories listed on the On-line TAS form.

 

You need to split the time that you spend on University activities over the following areas:

·         Teaching activities

·         Research Activities

·         Postgraduate Research Student-related activities (PGR)

·         Other activities

·         Scholarship and Professional Development activities

·         General Support activities

 

Note that:

·         time spent on Research activities (the development of new knowledge) and Professional Development activities (the assimilation of existing knowledge) should be distinguished. See further guidance at Scholarship and Professional Development activities

·         time spent on PGR activities should be recorded separately within Research activities

·         time spent on Teaching, Research, Postgraduate Student-related and Other activities can relate to Direct activities or Support activities.

 

We recognise that your working week may substantially exceed the length of time your contract requires. Please record ALL the hours that you spend on University work.

 

If your appointment is part-time, please give the percentage of full time worked in the box provided on the schedule.

 

If you are absent or on leave for any of your allotted week please record this in the sections as indicated at the top of the form

 

The form can only be filled in with hours (to two decimal places as required). The total number of hours and the percentage of time will be calculated automatically and will change as you fill out the form.

 

Note that all sections of the On-line form have links to the relevant section of the guidance notes to provide you with further information and guidance. A full set of the guidance notes is also available on the web page as indicated.

 

Please exclude any time spent on privately funded work carried out in personal time.

 

 





 

PIN Code

This will have been issued to you by e-mail beforehand. To log on to the web-form you will need your University User id (mtfss….) and your PIN Code. The PIN Code is specific to a single collection.

·         A confidential list of issued PIN codes and names is held in order to contact appropriate individuals where there is an error on the form, to send out reminders to non-respondents, or to re-issue a PIN number to a staff member who has mislaid it.

·        For all subsequent uses of the data, names are not relevant and anonymity is assured. The percentages are downloaded from the Time Allocation Schedules and entered into a database. This database holds the cumulative data received from staff and will be used anonymously in the costing work required by the Transparency Review.

 

 

 

 

 

GUIDANCE NOTES ON SPECIFIC SECTIONS OF THE TIME ALLOCATION SURVEY

I                      A - Teaching

 

Teaching Activities will need to be split by Teaching method / Teaching-related activity and Activity type. Please note that any supervision associated with postgraduate research students should be accounted for under B1.7 or B2.8.

 

Teaching activities need to be split by direct contact hours, Teaching Preparation and Marking and General Support for Teaching. **Please note:Teaching carried out in trusts under a clinical contract should be recorded under clinical services (section C).

 

Direct contact hours are defined as time spent on the direct delivery of teaching of undergraduates and postgraduate taught students both within your own and other departments.

 

Teaching Preparation and Marking This includes preparing materials for lectures, seminars and classes, tutorials and lab practicals and teaching, organising fieldwork and writing text books and similar publications intended primarily for teaching purposes. Assessment work includes the assessment and/or marking of students’ coursework, essays, and other project work.

 

Teaching method / Teaching-related activity

This is divided into three areas:

·         A01-A07   Mainstream courses

·         A08           Special courses

·         A10-A11   Other

 

Mainstream CoursesThese are all undergraduate courses, all taught postgraduate courses (courses leading to a Master’s or equivalent degree award), courses for and with other matriculated students, and all award and credit-bearing courses.

 

It is hoped that most of the categories in sections A01-A07 are self-explanatory, with the following exceptions:

 

·         A03 Seminars/classes – include any preparation and delivery of e-learning materials.

·         A04 Lab Practicals/Teaching – include supervision of practical lab projects for Undergraduate  and Postgraduate Taught students.

·         A06 Inductions – this might include any induction courses on laboratory working, etc.

 

A09 Any examinations associated with mainstream courses should be recorded here.  Invigilation, marking and setting of papers should be recorded as direct contact hours, all other activity should be recorded under Teaching Preparation and Marking.

 

A08 Special Courses These are non-credit-bearing courses, short courses, Executive Education/CPD delivery for which fees are charged, including teaching services delivered externally, courses held overseas, commercial teaching for external organisations (e.g. summer schools organised by other Universities) and  teaching of non-matriculated students in Manchester. Any examinations associated with these courses should be recorded as Teaching Preparation and Marking against this line.

 

A10 Student admissions, including interviews, open days, etc. Student administration, including welfare, pastoral care and counselling.

 

A11 General Support for Teaching comprises any activities you might have carried out in the support of teaching and which cannot be classified as either direct contact hours or primary support. This would typically include:

 

·         administrative work relating to teaching, ranging from timetabling, preparing course prospectuses, departmental, faculty or college committee work relating to teaching;

 

·         Scholarly work which includes keeping up-to-date in your field or exploring new areas with some potential benefit to teaching. Include attendance at conferences on teaching; associated travel time (flights, transfers, waiting around at airports etc.) can be included into the same category as the activity;

 

·         Time spent on the advancement of your personal knowledge and skills related to teaching (e.g. training courses, professional development courses, discussions on teaching feedback).

 

Where supporting activities benefit Research or Other Activities as well as Teaching, try to apportion the relevant time between the activities A11, B1.5, B2.7, and C6 as you see appropriate. Where activities cannot be attributed to Teaching, Research or Other Activities, they should be counted under Section D – General Support].

 

You will probably not be involved in all of these activities in a given period. Also the relative proportions of time spent on preparing teaching materials when first joining the University or establishing the first year of a new course will normally be higher than in subsequent years

 

 

 

 

II                    B1  Publicly Funded Research

Publicly funded activity is defined simply for these purposes as that which is supported from UK or European Commission public funds. Activity which is funded by the University or is “own funded” is also considered publicly funded.

Activity (Research projects) supported by Charities is not Publicly Funded (Enter under B2.2)

Indicate, by the type of project sponsor (whether paying in part or in full for the costs of the project), the amount of activity spent on research.

Further details of sponsor types can be found at Appendix 1 of this document.

See Note III below for help on Section B1.1.

Include time spent on the following (where Publicly Funded):

 

·         Fieldwork laboratory, studio, desk/library work

 

·         Management of research projects including informal discussions, progress reports etc. Include time spent setting up projects for funded Postgraduate students.  

 

·         Recruitment and supervision of research staff

 

Include time spent on the following where directly connected with specific Publicly Funded research projects:

 

      ·         Attendance at conferences, seminars and society meetings incluiding preparation of papers for conference proceedings (note the organisation   of these should be recorded under support), associated travel time (flights, transfers, waiting around at airports etc.) can be included into the same category as the activity;

 

·         Reading specialised journals etc (eg. likely to be cited or directly relevant to the research staff under your supervision)

 

·         Participating in specialist academic networks

 

·         Production of research reports, papers, books required under the terms of the grant or contract

 

·         Outreach where Research is the underlying activity (eg. Research carried out under a Knowledge Transfer Partnership)

 

B1.5 Note that Support activities for Publicly Funded Research should be shown separately here (See definition – Section IV below)

 

B1.7 Time spent supervising PGR students where publicly funded (if the Source of funds is not clear for the PGR students please provide a best estimate/split Publicly and Non Publicly Funded)




III                  B1.1 Research without an external sponsor

 

We need to identify separately the percentage of time spent on research, whether identifiable as a specific project or not, where there is no external sponsor. For some individuals this forms a high proportion of the total time spent on research.

Research entered under this heading includes any speculative research, for example to investigate novel ideas or to assess their potential before preparing a grant or contract bid to a sponsor whether or not it leads to an outcome.

Research time spent on collaborative work with another University department or another University should be built into either this heading or as externally sponsored work, as appropriate

 

 

 

IV                  B1.5 and B2.7 - Support Activities for Research

Include in these sections activities in support of both B1 & B2 Research such as:

·         Drafting proposals for bids to external bodies; negotiating resulting contracts

·         Quality assurance eg. related to the REF

·         Refereeing papers and journal editing

·         Unpaid advisory work to government departments or committees, professional bodies or agencies in relation to research matters and where it enhances or potentially benefits your research work.

·         Administrative work including Departmental or University Committee work, Faculty tasks etc., where relevant to Research. (Note: general management or committee work not specifically supporting Teaching, Research or Other should be counted under Section D of the form).

·         Publicity for research facilities and opportunities

·         Organising conferences, seminars and society meetings directly connected with specific research projects.

·         Scholarly work and Advancement of personal knowledge and skills in relation to research, e.g. keeping up with the literature, acquiring new technical skills, attendance at professional conferences, block time in other institutions on research exchange schemes

·         Exceptional time spent in a given year on procurement of special research equipment, such as liaison with suppliers over specifications for custom made items, installation and commissioning of the equipment.

 

 

 

 

 

V                    B.2 Non-Publicly Funded Research

 

Non-Publicly funded research is defined simply for these purposes as that which is supported from UK or EU non-public funds. This includes UK Charities, Industry and Other categories and EU Sources (other than the EC) and Other Overseas sources as specified.

Again, indicate, by the type of project sponsor (whether paying in part or in full for the costs of the project), the amount of activity spent on research.

Include time spent on the following (where Non-Publicly Funded):

 

·         Fieldwork laboratory, studio, desk/library work

 

·         Management of research projects including informal discussions, progress reports etc. Include time spent setting up projects for funded Postgraduate students.  

 

·         Recruitment and supervision of research staff

 

Include time spent on the following where directly connected with specific Non-Publicly Funded research projects:

 

     ·         Attendance at conferences, seminars and society meetings including preparation of papers for conference proceedings (note the organisation of  these should be recorded under support) associated travel time (flights, transfers, waiting around at airports etc.) can be included into the same category as the activity;

 

·         Reading specialised journals etc (eg. likely to be cited or directly relevant to the research staff under your supervision)

 

·         Participating in specialist academic networks

 

·         Production of research reports, papers, books required under the terms of the grant or contract

 

·         Outreach where Research is the underlying activity (eg. Research carried out under a Knowledge Transfer Partnership)

B2.8 Time spent supervising PGR students where non-publicly funded (if the Source of funds is not clear for the PGR students please provide a best estimate/split Publicly and Non Publicly Funded).

 

 

 

 

VI                  C - Other Activities

 

Include here any activities which are neither Teaching nor Research but which are carried out in University time and generate or potentially generate an income stream to the University. For example:

·         Services to Industry: provision of services to industry through contracts between the University and a company for the use of University expertise and/or facilities (University consultancy and testing).

·         Consultancy: where remunerated this should be allocated to C3. Where there is no opportunity to receive income this time should not be considered consultancy but should be recorded as scholarship and allocated to Support for Other activities at C6. Include any consultancy of a private nature carried out with University permission in University time within these categories as appropriate.

·         Technology Transfer work: Includes Directorships of start-up companies, and/or consultancy contracts for the companies if such work is remunerated via the University C3. If this work is remunerated via a sponsor B1 or B2

(If such work is not remunerated, the time spent should be included in C6 (Support for Other activities))

·         Other services rendered including work undertaken in University time and paid for by non-academic departments or units (such as residences, or catering)

·         Advisory work for government departments or committees, if remunerated.                

Note: Time on unpaid work of this type should be allocated to Support for Teaching, Research or Other (or a combination of these) where appropriate.

·         Commissioned professional work - e.g. editing a journal for remuneration

Exclude private consultancy (or any other private work) which is carried out in your own time and does not include the use of University facilities or resources.

 

 

 

VII                C1 – Clinical duties performed for the NHS

Include time spent providing clinical services to the NHS, not just clinical work, all NHS work as defined in your job plan. Please ensure that you have included work carried out on University duties in the other appropriate sections of the form.

·  Clinical Academic Contracts

All duties and responsibilities in a clinical academic contract should be incorporated within Programmed Activities in the job plan. A full-time Consultant Clinical Academic will normally be contracted for a total of 10 Programmed Activities per week (5 University and 5 NHS inc. SPAs). Consultants may agree to undertake Additional Programmed Activities if requested to do so by either or both employees, up to a maximum of 2.

Unpredictable emergency work arising from on-call duties should also be recorded here..

Elements of a Consultant clinical academic job plan

·  · Direct clinical care (DCC) including medical outpatient clinics where patients are treated as part of their ongoing care with students in attendance

·  · Supporting Professional Activities

·  · Additional NHS responsibilities (e.g. chairing committees)

·  · External duties

·  · Academic activity (education, research and management responsibilities)

·  · Private practice, where undertaken, should be reflected within the job plan

·  · Supporting Professional Activities

These are defined as ‘activities that underpin direct clinical care. This may include participation in training, medical education, continuing professional development, formal teaching, audit, job planning, appraisal, research, clinical management and local clinical governance activities’. For a Consultant Clinical Academic, of the 5 NHS PAs in the job plan the split of SPAs to PAs for direct clinical care should normally be 1.25 PAs for SPAs and 3.75 PAs for direct clinical care.

 

 

·         Public Engagement Activities - Include free lectures to the public, visits to schools, participation in Science Festivals etc.

·         Technology Transfer work where remunerated.  ** please note: if this work is funded by a sponsor please record under the appropriate sponsor heading in B1 or B2

 

 

 

IX                 C4 – Other Professional work

Include attendance at conferences, consultancy, external exams, advisory work if not related to Teaching or Research.




X                   C6 - Support for Other Activities

Include time spent on:

·         Drafting and negotiating contracts for Other Activities (but not for research contracts, where the time should be accounted for under Research).

·         Unpaid Technology Transfer work - e.g. supporting patent applications, licence negotiations, formation of start-up company

·         Any non-remunerated support activity – include such support that cannot be linked meaningfully with either support to teaching or support to research.

 

XI                 D - General Support

 

This section covers time spent on Support activities that cannot be attributed to Support for Teaching or Research or Other activities. Include activities such as:

 

·         Management and Administration including membership of/participation in University, Faculty, School Boards

 

·         Management duties such as Vice Presidents, Deans, Associate Deans, Heads of Schools etc

 

·         Staff Management, appraisals etc

 

·         Publicity, representative work on behalf of the University, Faculty, School

 

·         Careers advice

 

·         Information Returns

 

·         Advisory work for Government, quality assurance contribution to the sector eg on unpaid committees or secondments to panels which is not attributable to Teaching, Research, or Other activities

 

·         Continuing Professional Development (CPD) and attendance at internal training courses where this cannot be linked directly to and recorded in either Support for Teaching or Support for Research.

 


 

 


 

 

APPENDIX 1     Research Funder Types

·         UK industrial and commercial companies; and

·         UK public corporations (defined as publicly owned trading bodies, usually statutory corporations, with a substantial degree of financial independence) operating in the UK.

·         The European Commission only

 

Other

Any other external funder not included within the scope of the other funder types above:

·         All bodies operating within the EU outside of the UK (but excluding the European Commission); and

·         All bodies operating outside of the EU

 

For HEFCE reporting purposes the British Academy and Royal Society are also deemed Research Councils as they receive a significant proportion of their income from the UK Government.
